SXSW London - Ticketing Terms and Conditions SXSW London Limited (SXSW London) is proud to present SXSW London 2025 (the Event), a festival of in-person physical events (each a Physical Event) and online events (each an Online Event). These SXSW London Ticketing Terms and Conditions (the Terms) apply to any and all tickets whether a hard copy ticket or an e-ticket, wristbands or any other entry or access pass or permission for the whole or any part of the Event (a Pass). They should be read in conjunction with the terms and conditions of each of the venues where the Event is being held (each a Venue and such terms and conditions being Venue Terms). By submitting an order to purchase one or more Passes, or by accepting, obtaining and/or using a Pass, you acknowledge and agree to be bound by these Terms.
OFFICIAL SXSW LONDON PASSES
SXSW London, its agents and representatives are the sole official sellers and distributors of SXSW London Passes. Any Passes not purchased from SXSW London or its authorised agents or representatives will be invalid and may be seized or cancelled without refund or compensation. SXSW London reserves the right to pursue any and all legal action or remedy available against any person or entity involved in the actual or attempted creation, distribution or use of unauthorised Passes.
PASS PURCHASE AND COLLECTION
We reserve the right to limit, at the time of purchase, the maximum number of Passes that any person may purchase for the Event. Passes may be limited to a maximum number per person, per payment card and/or per address. We reserve the right to cancel without prior notice any Passes purchased in excess of this number.
The nominated payment card or the registered bank account used to purchase Passes must be registered in the name and address of the individual or company purchasing the Pass (the Purchaser). We reserve the right to refuse any application for Passes from any person who fails to comply with this condition or to cancel any Passes purchased in breach of this condition.
To prevent fraud and protect both you and us, we may carry out checks and/or you may be asked to provide additional information (such as a copy of a credit or debit card statement) after your booking so we can verify your purchase. If we suspect fraud, we may cancel any order for Passes.
All Passes must be paid for either by: (1) any credit card at the time of purchase; or (2) via bank transfer within 5 (five) business days of our receipt of your order. We reserve the right to (i) cancel any order if payment is not received in full within 5 (five) business days of your order and (ii) not accept bank transfer as a form of payment.
Once we have accepted and processed the order, the Purchaser shall receive an email confirming the purchase of the Pass(es) and an order number (the Purchase Confirmation Email). No order is confirmed until the Purchaser has received a Confirmation Email. It is the Purchaser’s responsibility to check the Purchase Confirmation Email and inform us immediately of any inaccuracies as mistakes cannot always be rectified. We cannot accept any liability if we are not notified of any inaccuracy in any documentation within 5 (five) days of issue.
Once the Purchaser has received the Purchase Confirmation Email they will be able to transfer any or all of the Passes set out in the Purchase Confirmation Email to other individuals.
In order to transfer a Pass, the Purchaser must provide the email address of the relevant individual to whom they wish to transfer the Pass. Such individual will receive an email from SXSW London notifying them of the transfer and providing instructions as to how they can and accept or decline the Pass. No Pass will be transferred until the relevant individual has confirmed their acceptance of the Pass. The Purchaser is responsible for carefully checking the email address that they provide for each individual. SXSW London will not be responsible if the Pass is transferred to the wrong individual as result of an incorrect email address being entered by the Purchaser.
If you wish to accept the transfer you will be required to create an account via the SXSW London website or the SXSW London app and provide certain information to SXSW London. Once you have provided all required information SXSW London will register you as the holder of the Pass. Once such process has been completed, you will receive an email confirming the details of your Pass (the Pass Confirmation Email). No Pass will be assigned to an individual until the relevant individual has received the Pass Confirmation Email. It is the responsibility of the Purchaser to ensure that each individual who has accepted a Pass transfer creates an account and provides the required information to SXSW London. SXSW London will not be responsible if an individual is unable to register in person at the Event (as set out in paragraph 2.9) or refused entry to a Venue or the Event as a result of not providing the required information after accepting a Pass transfer.
You will be required to register in person at the Event and at such registration you will be issued with a digital Pass or can elect to receive a physical Pass and lanyard. At the point of registration, you will be required to show your Pass Confirmation Email and photographic proof of identity.
If a Purchaser has not received a Purchase Confirmation Email (or if you have not received your Pass Confirmation Email) in advance of the Event, please contact the relevant customer service centre (details of which can be found when you email [email protected]).
It is your responsibility to check your Pass Confirmation Email and inform us immediately of any inaccuracies as mistakes cannot always be rectified. We cannot accept any liability if we are not notified of any inaccuracy in any documentation within 5 (five) days of issue.
DISCOUNTS
From time to time we may offer promotions, deals or discounted offers, which are provided at our discretion. All such offers are subject to availability and may be withdrawn by us at any time. Retrospective refunds are not permitted against any offer or promotion advertised after a booking is made.
If SXSW London determines that you have provided inaccurate information to obtain discounted or exclusive offer Passes, you may be required to pay the difference in value of the relevant Pass’ final release price in order for you to receive a digital and/or Pass at the registration event and/or access the Event.
In order to benefit from any discount, payment must be received in full for any order subject to any discount by the advertised deadline for the relevant discount (except that in the case of payments by bank transfer, payment can be received after any relevant advertised deadline provided the order has been made prior to the advertised deadline). We reserve the right to charge additional amounts to reflect the non-discounted price if you fail to pay for any discounted Passes before the relevant deadline.
REFUNDS AND CANCELLATION
The sale or other issuance of any Pass is final and non-refundable except as set out in this Section 4.
SXSW London shall only be required to refund the Purchaser in the following circumstances: (1) the Event is cancelled in its entirety before the Event has started; or (2) the Event is postponed in its entirety before the Event has started and the Event is scheduled to another date and the Purchaser does not elect to accept tickets to the rearranged Event (as set out in paragraph 4.3).
If the Event is postponed in its entirety before the Event starts and the Event is rescheduled to another date, you may elect to either: (1) use the existing Passes for the rescheduled Event; or (2) if the person who is named in the Pass Confirmation Email is unable to attend the entirety of the rescheduled Event, the Purchaser (and only the Purchaser) shall be entitled to a refund as set out in paragraph 4.4.
If the Purchaser is entitled to a refund as set out in this Section 4, the Purchaser will be advised of the process and the prescribed deadline for refund applications through the media or via direct communication within 10 (ten) business days of the cancellation or rescheduling of the Event. The Purchaser must follow the prescribed process and deadline and produce the original Pass in order to be eligible for a refund. SXSW London shall not be required to issue a refund in relation to any Pass which it reasonably believes has been the subject of a sale, transfer or disposal in breach of these Terms.
As soon as possible after SXSW London becomes aware of postponement, rescheduling or cancellation of the Event, all available information will be posted on www.sxswlondon.com but it is your responsibility to ascertain whether the Event has been postponed, rescheduled or cancelled and any new dates, times, and venue.
In all circumstances, SXSW London shall only be required to refund to the Purchaser the face value of the relevant Pass as at the time the Purchaser purchased the Pass. SXSW London shall not be required to refund any fees or charges paid in addition to the face value of the relevant Pass (for example, any booking fee or postage cost). No interest or other costs will be payable in addition to any refund.
SXSW London will not be liable for any other losses incurred by you as a result of the cancellation, rescheduling or relocation of the Event (or any part of the Event) or any individual official event, including any travel and accommodation expenses. As a result, you should carefully consider the refund and cancellation policies of travel, accommodation and other goods or service providers when making arrangements for attendance at the Event. You may also wish to consider taking out a relevant insurance policy to cover for any losses in the event of cancellation, rescheduling or relocation.
For the avoidance of doubt, Passes will not be exchanged or refunded if: (1) the Passes have been cancelled or voided by SXSW London for any reason; (2) you fail to use your Passes as a result of any change in your personal circumstances and/or due to other external factors impacting you (for example, illness, inability to travel (including as a result of things outside your control), loss of employment and/or duplicate purchases) (3) after the Event has started, it is stopped for any reason but it is completed before its scheduled end date; (4) part of the Event is postponed to a date that is within the original scheduled dates of the Event; (5) the start time of any part of the Event is delayed or changes for any reason; (6) part of the Event is moved from a Venue to another venue within Greater London; and/or (7) the Passes are used for entry into any Venue.
Unused Passes have no monetary value and cannot be credited to future years or events (unless SXSW London is offering a deferral in accordance with paragraph 4.3).
DAMAGED PASSES
SXSW London will only replace or accept lost, stolen, damaged or destroyed Passes if the Pass holder is able to provide a Pass Confirmation Email and photographic identification. SXSW London may charge a reasonable fee for the replacement of Passes.
Tampering with any Pass, including, without limitation, wristbands (e.g. stretching, tearing, cutting, taping, etc.) is not permitted. If tampering is evident, the applicable Pass(es) will be invalidated and confiscated, and you will not be allowed entry to the Venues and/or Event where the Passes are required. No refunds will be issued in such case.
REVOCATION OF PASSES
All Passes are the sole property of SXSW London. If you breach these Terms (and/or any terms referenced herein), SXSW London has the right, in its sole discretion and at any time, to cancel, revoke, or refuse all transactions with any individual or entity, including, without limitation, Passes and purchases made through SXSW London.
VARIATIONS TO THE EVENT
SXSW London reserves the right to add, withdraw, reschedule or substitute speakers, performers, panellists, individual official events and/or vary advertised programmes, venues, seating arrangements and audience capacity. You agree and acknowledge that SXSW London will not offer a refund for such changes.
PASSES TRANSFER POLICY
Except as permitted in this Section 8, once assigned to an individual by a Purchaser (as set out in paragraphs 2.6 to 2.8) Passes are strictly non-transferable and are issued to and, can only be used by the individual who is named in the Pass Confirmation Email. We reserve the right to cancel without refund any Passes issued to any individual whom we believe plans to offer a Pass for resale otherwise than in accordance with these Terms.
Up to 48 hours prior to the start date of the Event, SXSW London will accept a request to transfer any Passes. In order to do this you will need to login to your SXSW London account and provide the email address of the individual to whom you wish to transfer the Pass. Paragraphs 2.7 and 2.8 apply to any Passes transferred by you pursuant to this paragraph 8.2. Passes cannot be transferred after they have been exchanged for a digital Pass or a physical Pass as set out in paragraph 2.9.
The transfer of any Pass by the Purchaser or you pursuant to paragraph 8.3 is subject to the following conditions:
the sale, transfer or disposal of any such Passes must not be for a value greater than the original sale price of the Pass;
the Pass must not be offered publicly (including on any website) whether for sale, as a gift or donation or any other means of transfer; and
the sale, transfer or disposal must be made strictly subject to these Terms (and the transferee's acceptance thereof) which shall be binding upon the transferee in full as if the transferee was the Purchaser (but the transferee shall have no right to a refund under Section 4 of these Terms).
Except as set out in paragraph 8.2 it is an essential condition of the issuance of each and every Pass and the right of admission to each of the Venues that the Pass must not be:
used in relation to any promotional or commercial purpose (including any competition, advertising, promotion, auction or as a prize in any competition or sweepstake, whether for a business or a charity or otherwise);
used to enhance the demand for any other goods or services; and/or
transferred or otherwise disposed of to any person who agrees to buy any good(s) or service(s) in return for the Pass,
in each case without our prior written approval.
Any Pass offered for sale, sold, transferred, used or disposed of in breach of these Terms may be cancelled and any person seeking to use the Pass may be refused admission to or be evicted from any of the Venues without refund or compensation and may also be liable to legal action, even if the holder did not have prior notice of these Terms or the fact that they were breaching these Terms.
ENTRY AND RESTRICTIONS
You must comply with all applicable Venue Terms, copies of which will be available prior to the Event and on request. If you fail to comply with any applicable Venue Terms, you may be refused admission to or evicted from the relevant Venue and may be barred admission to any of the other Venues without refund or compensation.
Admission to each Venue will only be authorised upon presentation of a valid Pass and (if we and/or any of the Event staff require) photographic proof of identity and proof of age. One Pass will be required for each person, regardless of age. You must wear, possess and present your Passes as follows: (1) badges must be on the SXSW London issued lanyard around your neck; (2) wristbands must be securely affixed to your wrist and remain on your wrist throughout the Event; and (3) digital Passes for the Physical Events must be presented by you on a digital device in your possession. No other laminates may be worn on the SXSW London lanyard for the badge to be valid. If Passes are not worn or presented correctly by you, SXSW London reserves the right to deny your entry into Physical Events.
For the purposes of safety, security and/or checking compliance with these Terms and the Venue Terms, you shall, if requested by any Event staff, co-operate and comply fully with the instructions and guidelines of such staff member (including by producing a valid Pass and photographic proof of identity and proof of age). You may be requested to submit to a body check and/or a search of your possessions for the purposes of locating and removing any prohibited items, and any refusal you may result in refusal of admission to or eviction from all of the Venues without refund or compensation.
We and/or any Event staff may refuse admission to or eject you from any Venues or cancel your Passes without refund or compensation if you (or any of your guests):
are noticeably under the influence of alcohol, narcotics or any behaviour-modifying substance, or are behaving, or considered by any Event staff likely to behave, violently, harmfully or in a manner contrary to public order and/or safety;
bring or attempt to bring into any of the Venues, possesses or uses within any of the Venues or in the vicinity thereof any prohibited item including, without limitation,; sound systems; glass bottles; drones; sky lanterns; laser pens; selfie sticks; unofficial high vis jackets; potential weapons of any kind; legal highs; illegal substances; fireworks; compressed gas containers; flares; air horns; smoke bombs; banners, signs or materials displaying political, religious, offensive or race-related messages, slogans or images; any item that an Event staff member considers dangerous, hazardous and/or illegal or that may be used as a weapon or a missile or that may compromise or otherwise interfere with the enjoyment, comfort or safety of (or pose a hazard to) any person or security at the Venue; animals (other than guide dogs); any objects bearing trade marks or other kinds of promotional signs and messages (of whatever nature) which we believe are for promotional purposes;
bring or attempt to bring into any of the Venues, possess or use within any of the Venues or in the vicinity thereof any sponsorship, promotional or commercial items or materials (of whatever nature) without our prior written authorisation (and you may be asked to show us a copy of any such authorisation upon entry to or whilst within the Venue);
whilst within any of the Venues or the vicinity thereof, engage in any form of activity related to marketing or advertising (including, for the avoidance of doubt, ambush marketing), or conduct any commercial activity whatsoever, or offer (either for free or for sale), sell or possess items with intent to sell (including, without limitation, drinks, food, souvenirs, clothes, promotional and/or commercial items and literature), in each case without our prior written authorisation (and any such items may be removed, confiscated and/or destroyed without compensation at our discretion and/or the discretion of any Event staff member);
whilst within any of the Venues or vicinity thereof or, where applicable, via the SXSW London mobile app, through social media channels, whilst using any SXSW London digital platforms (including the SXSW London Submissions Portal), or while otherwise engaging in any online aspect of the Event, engage in disruptive, dangerous or violent behaviour including (without limitation) throwing, casting, thrusting or propelling any object at any person, instigate violence, racism or xenophobia, behave in a way that any reasonable person may interpret as provocative, threatening, discriminatory and/or offensive, create or pose any threat to the life or safety of themselves or any other person(s), or harm any other person(s) in any way, or unreasonably obstruct the viewing of other spectators;
whilst within any Venue, enter or circulate in restricted access areas or other areas where you not allowed access to; or climbs lighting masts, fences, roofs and other apparatus or constructions;
whilst within any Venue, damage, interfere with or tamper with any property of any third party;
whilst within any Venue, smoke in any area where smoking is not permitted;
are suspected of committing, or having committed, or being likely to commit, a criminal offence in or about the Venue; and/or
whilst within any of the Venues or the vicinity thereof, fail to comply with instructions from us and/or any member of Event staff, or refuse a security search.
You must be aged 16 or over to attend the Event and any person aged 16 or 17 must be accompanied by a person aged 18 or over – proof of identity and age must be provided on request at the admission gate to the Venue.
Passes allow you the opportunity to enter or otherwise access the Event, but do not guarantee admission to all elements of the Event. You are not guaranteed an uninterrupted and/or uninhibited view of any performance or part of the event, nor is SXSW London giving any guarantees as to the quality, content or duration of any part of the Event.
Access to the Venues, and designated areas in the Venues, is subject to capacity and the Venue Terms and we accept no liability and will not offer any refunds if you are unable to attend a specific part of the Event listed on the schedule.
Access to each venue is via a primary queue for primary ticket holders for that venue (such holders will be admitted first via a designated line, entrance or reservation system until the venue reaches capacity) and a secondary queue for secondary ticket holders for that venue (such holders will be admitted if there is capacity after the admission of all primary ticket holders).
We take the needs of attendees of the Event who are disabled or who have other access requirements very seriously and encourage people of all abilities to attend the Event. If you have access requirements for the Event please register your requirements through [email protected] and we will endeavour to assist.
ONLINE EVENTS
Sharing Passes for access to an Online Event is strictly prohibited.
Access to each Online Event and use of any related online services related to the Event is dependent on your internet connection, hardware and certain software (including third party software) that may be required or may need updating. SXSW London is not responsible for any streaming lags, interruptions, outages, or your inability to access Online Event content as a result of your internet connection or any other technical, hardware, equipment, system, server or technology related issues. You are responsible for your own data security while accessing the Online Events. A high-speed internet connection is necessary in order to access the Online Events. Network or roaming network may apply fees for data usage. You acknowledge and agree that the system requirements set forth in this Section 10 are your sole responsibility.
Your ability to view Online Event content may vary based on the rights availability of such content, your particular Pass, and/or your geographic location.
You are strictly prohibited from copying, republishing, downloading, transmitting, modifying, renting, leasing, loaning, selling, assigning, distributing, recording, licensing, sublicensing, reverse engineering, or creating any derivative works based on any content delivered by SXSW London as part of the Event, or otherwise using any Event content in a manner that does not comply with these Terms, the SXSW London website Terms of Use, or other content usage guidelines provided by SXSW London in writing, unless you have obtained express permission from SXSW London and the applicable rightsholder(s).
You agree to not use any device, software, internet site, web-based service, or other means to remove, alter, bypass, avoid, interfere with, or circumvent any copyright, trade mark, or other proprietary notices marked on the Event content or any digital rights management mechanism, device, or other content protection or access control measure associated with the Event content, including, without limitation, any applicable geo-filtering mechanisms. For clarity, you may not use any technology or technique that obscures or disguises your location when accessing the Online Events or related services.
PHOTO AND VIDEO CONTENT
You agree that (without prior approval, and without applicable media Passes being issued by you to SXSW London) no form of professional camera equipment may be used at the Event to capture content (including, without limitation, videos, clips, photographs, audio recordings, text, graphics, logos, icons, images and software made available to you during the Event).
You may use personal digital cameras (excluding SLR/DSLRs) at the Event for capture of content for personal, non-commercial (non-sponsored and non-monetised) use. However, in no circumstances will you be permitted to:
stand in the press area, obstruct views, use any tripod or selfie-stick or similar device, or use a flash after the session begins;
live stream; and/or
take photos or shoot video where it is unsafe or disruptive such as in doorways, fire exits, expo floor aisles, hallways, sidewalks.
Not complying with a request to move or stop capturing content could result in your being removed from the Venue or Event without a refund or compensation.
IMAGE RELEASE
Photographs and/or audio/video recordings taken at the Event by SXSW London, SXSW London partners or sponsors, or others on behalf of SXSW London, may include your image, name, voice, statements (whether in writing or orally), performance (or part thereof) and/or likeness. By attending and/or participating in the Event, you hereby grant SXSW London permission to use, and to sublicense to third parties, any such photographs and/or audio/video recordings for any purpose in perpetuity, including, without limitation, commercial purposes (without approval from you and/or without paying any compensation or giving any credit to you), in any and all media, worldwide, now known or hereafter devised.
In addition, you acknowledge that the police and/or security staff may carry out filming for the security of the Event and the prevention of crime.
SXSW LONDON LOST AND FOUND
You are responsible for your personal property brought to and into the Venues. Neither SXSW London nor any Venue owner or operator, is responsible for any loss, theft or damage to your personal property items. As a courtesy only, and without assuming any legal duty or liability, a “Lost and Found” will be located at registration during the Physical Events, which is where you may drop off found items. If you do lose an item, you can also email a description of the item and the location it was lost/found to [email protected]. After 90 (ninety) days following the Event, unclaimed lost and found items may be disposed of at SXSW London’s discretion.
HEALTH AND SAFETY
You agree to comply with all Government advice, directions, orders and regulations relevant to attending the Event, which may be in place at the time of the Event.
When attending the Event, you agree to assume all risks associated with infection disease (including COVID-19).
ADDITIONAL SXSW LONDON POLICIES
You have read, understand and agree to the Code of Conduct for the Event (which can be found at here and such policy is incorporated herein by this reference.
We will only use your personal information as set out in the SXSW London Privacy Policy which is also incorporated into these Terms.
VOLUNTARY PARTICIPATION AND ASSUMPTION OF RISK
You understand and agree that participating in and attending the Event is voluntary and may involve certain risks of physical injury, damage to property (whether physical property or intellectual property), and other damages or losses that may be sustained by you, and you assume all risk of damage, property loss, and/or personal injury which may occur as a result of participating in the Event.
LIMITATION OF LIABILITY
Nothing in these Terms seeks to exclude SXSW London’s liability or that of any owner or operator of any of the Venues for death or personal injury caused by its negligence, fraud or other type of liability which cannot be excluded or limited by law.
Subject to paragraph 17.1, we shall not have any liability to you or a Purchaser beyond the price paid by the Purchaser for its Passes.
We are responsible for losses you suffer caused by us being in breach of these Terms unless:
it was not obvious that you would suffer loss and nothing you said to us before we accepted your order meant we should have expected you to suffer loss (so, in the law, the loss was unforeseeable);
if the loss is suffered by you as a result of a delaying or intervening event outside our control, subject to your right to receive a refund or defer your Pass (as set out in paragraph 4.2) if the Event is cancelled or postponed;
the loss could have been avoided if you took reasonable steps (for example: (1) wasted accommodation or travel costs, which are caused by the Event being cancelled or postponed that could have been avoided if you had followed our advice in paragraph 4.7; or (2) damage to your own digital content or device, which was caused by attending an Online Event and which you could have avoided by following our advice to apply a free update or by correctly following the installation instructions or having the minimum system requirements advised by us); or
you are purchasing one or more Pass or otherwise attending the Event for the purposes of your trade, business, craft or profession.
If you are purchasing Passes or attending the Event for the purposes of your trade, business, craft or profession, we will under no circumstances be liable to you for any: (1) any loss of profits, sales, business, or revenue; (2) loss or corruption of data, information or software; (3) loss of business opportunity; (4) loss of anticipated savings; (5) loss of goodwill; or (6) any indirect or consequential loss.
LAW AND JURIDICTION
These Terms are governed by the laws of England and Wales. Both you and SXSW London agree to submit to the exclusive jurisdiction of the courts of England and Wales in respect of any disputes or claims (including non-contractual disputes or claims) relating to these Terms or the subject matter of these Terms.
UPDATES TO TERMS
SXSW London reserves the right to make changes to these Terms from time to time at its sole discretion (including, without limitation, by amending or supplementing the Venue Terms). A full copy of the latest version of the Terms will be available here. Please make sure you check the latest version of the Terms before completing any purchase of Passes.
GENERAL PROVISIONS
Nothing in these Terms establishes an agency, partnership or joint venture between the parties, or relationship of employer or employee between the parties (or between either party and the other party’s personnel). Headings are included for convenience only and will not be used to construe these Terms. In the event that any term or provision of these Terms is held invalid, illegal or unenforceable in any respect, such invalidity, illegality or unenforceability will not affect any other term or provision hereof (which will remain in effect). SXSW London may assign this agreement to a third-party at its discretion.
